Support Our Stingrays this Season
Our Stingray Swim Team cannot function without the support of parents. Volunteering is a mandatory component of being a part of the swim team. It is understood that every family's situation is different; there are many different volunteer roles with different types of time and skill commitments. Please browse the volunteer descriptions below, then sign up for your shifts using the button link to our team SignUp Genius.
Every family is expected to volunteer for 6 shifts. Many of the positions are split at a meet, meaning that you get credit for 1 shift if you work half of the meet and get credit for 2 shifts if you work the entire meet. Don’t worry! You will be able to choose your preferred meets and shifts in order to work around your family’s schedule. Additionally, the volunteer doesn’t have to be mom or dad. Grandma or uncle could volunteer!

Timers
The keepers of time for each lane and the best seats in the house!
Use their personal phone with the Swimmingly app connected to the meet via WiFi network. Stop the timer and verify each swimmer's ID number and name after each race.
Relief Timer
Backup timer who will step into any lane if a timer needs help.
Team Photographer
Photography during swim meets and other events, including taking small group photos at Lil Rays and age group photos after the team photo. This position has a reserved seat next to the VIP tent during home meets for optimal shooting angles. Photographer uploads images to Google Photos. Volunteer also coordinates the slideshow presented during the end-of-season banquet. Preferred to have volunteer who can commit to all home meets and optimally all away meets. Position fulfills all volunteer requirements for the season.
Starter*
Notifies swimmers of the event distance and stroke using the public address system; initiates the start signal (requires training).
Stroke Judge*
Reports any disqualification infractions during each race (requires training).
Place Judge*
Records the order of finishers by lane.
A/V Support*
Connects the pool sound system to the microphone and iPhone connector the Starter will use; disconnects and puts away the equipment at the end of the meet (requires training).
Scorekeeper*
Works with the Officials and the opposing team's Scorekeeper to review, revise and confirm results, as well as verifying scores (requires training). This position is perfect for a parent who is open/excited to learning the Swimmingly app and is a great way to introduce new volunteers who enjoy and understand working with technology.

Back Gate Attendant
Monitors the back gate at home meets to ensure team members do not exit the pool deck or play on playground equipment during the meet.
Heat Awards
Gives the winner of each individual heat of all ages (new in 2026) a piece of candy or a ribbon.
Clerk of Course
Assembles and lines up the swimmers for their respective event/heat/lane and prepares swimmers to take the blocks at the Starter's command.
Bullpen Parent / Assistant Bullpen Parent
Manages the flow of their respective age group from the team seating area ("bullpen") to the Clerk-of-Course. Bullpen Coordinators help assist swimmers so that they do not miss their race!
Age Groups include:
- 6 & Under
- 7-8
- 9-10
- 11-12
Relay Parent
Organizes swimmers for relay events; ensures all 4 swimmers are present, puts them in the correct order, and moves them to the staging area; also checks that relay swimmers age 10 & under are positioned on the correct end of the pool before the start of the relay.
Concessions
Sell food and drinks at the home swim meets. Concessions are located on the "front porch" of the swim clubhouse. Concession volunteers accept cash and card payments. Volunteers will need to be able to install Square to their phone and log in using credentials provided by the team treasurer before the meet. First shift volunteer helps set up the meet (must be at home meets by 4:30). Second shift volunteer breaks down concessions.
Set-up/Clean-up
Provides Set-up and Clean-Up assistance before and after the meet. This includes relocating the deck loungers, tables and chairs, as well as posting/removing signs for bullpens and lanes. Set-up volunteers must be at home meets by 4 p.m.

Volunteer are needed in other capacities outside of swim meets.These roles help keep things moving behind the scenes!
Raffle Coordinator
Manage team raffle(s). Ensure VIP tent is properly set up for each meet and that VIP winners receive their concessions vouchers. Manage the winners' drawing at each home meet (draw 2 tickets and share winners with announcer for notification around event 44). New in 2027: manage raffles for all meets during the season. Home meet winners receive VIP tent access. Away meet winners receive VIP parking at the host location.
Sponsorship Coordinator
Contact sponsors from prior year(s) and arrange sponsorship for the upcoming season. This role serves from February to April before the swim season begins, and completing it serves all 6 volunteer shifts needed.
Swim Committee
The swim committee is comprised of the volunteers who lead the swim team throughout the year, not just during swim season. Roles on the committee include meet director(s), treasurer, ribbons coordinator, trophies coordinator, volunteer coordinator, concessions coordinator and Lil Rays coordinator. The swim committee meets several times in person in the off-season to debrief and prepare for the new season. Serving on the committee fulfills all volunteer shift requirements.
Special Events
The team hosts a pizza party, an ice cream party and an end-of-season banquet to celebrate throughout the swim season. Volunteers are needed for the pizza and ice cream parties to hand out treats. Volunteers are needed at the banquet for set-up and clean-up.
Senior Recognition Coordinator
Organize senior night and communicate to families of senior swimmers. Collect senior biographies for recognition and assemble senior gift packages. This role serves during the swim season but not during meets, and completing it fulfills 3 of the 6 volunteer shifts needed.
Record Board
Tracks records for home meets. If a record is likely to be broken, the seed time is flagged to watch during the meet. If it is broken, the announcer is notified. This volunteer orders the new record name plates for our records board in July after the season is completed.
HOA - Swim Team Liaison
Communicate between Wellington HOA board and swim team committee. Share team successes and advocate for the swim team to HOA leadership. Bring HOA board information to the swim team committee for discussion. This volunteer should be a Wellington HOA member/homeowner.
